Agricultural machinery: quotation checklist

Prepare a complete agricultural machinery sourcing brief, identify missing information and download an RFQ template.

SPECIFICATION FIRST

What information is needed for a agricultural machinery quotation?

Task and conditions
Crop or farm task, working conditions and required capacity with units.
Power and interfaces
Power source; tractor model, hitch and drive interfaces where relevant.
Configuration and transport
Required attachments, dimensions, transport configuration, packing and destination.
Support and acceptance
Manual language, requested spares, service scope and the agreed inspection or demonstration criteria.

The categories describe buyer enquiry scopes, not a verified supplier catalogue or available stock. Exact models, technical evidence, origin, condition, compatibility and commercial terms require item-level confirmation.

CONTROL THE OPEN QUESTIONS

Prepare the brief before asking for a final price

  1. Use one line per product or configuration. Give photographs, drawings and samples matching line IDs and revisions.
  2. Separate agreed requirements from missing information. Ask the supplier to identify substitutions explicitly.
  3. Use the agricultural machinery checklist above to define the sample and acceptance scope. Do not supply guessed specifications.
  4. State the destination and named delivery place. Record the proposed trade term, payment terms, quotation validity and lead-time starting condition.
  5. Resolve technical and commercial deviations in writing before approving a sample or purchase order.

Illustrative review — not an actual supplier quotation

Compare capacity claims under the same stated operating conditions. If Offer A matches the brief but Offer B proposes a different configuration, first label the difference. Request a revised or clearly separate alternative offer; neither a cheaper unit price nor a similar image resolves that discrepancy.

RFQ RESOURCES

Keep the enquiry traceable

SAMPLE APPROVAL & SUPPORTING EVIDENCE

What should an agricultural equipment acceptance plan specify?

Describe the farm task, operating conditions, power source and any tractor or attachment interfaces. List required attachments and spares, then agree the configuration and acceptance checks before approving an offer.

What to request from the supplier

Request interface dimensions and configuration-specific supporting information. Agree which demonstration or inspection results are required; a machine photograph alone does not confirm suitability.

Buyer guidance from RootReach. This is not a supplier test result, certification or a guarantee of suitability. Confirm the evidence and acceptance criteria for the individual item.
