Bearings: quotation checklist

Prepare a complete bearings sourcing brief, identify missing information and download an RFQ template.

SPECIFICATION FIRST

What information is needed for a bearings quotation?

Designation and dimensions
Full bearing designation including suffixes, drawing revision and bore, outside diameter and width.
Operating requirements
Application, operating speed, load direction and duty conditions; mark unknown values for supplier clarification.
Configuration and evidence
Requested clearance, precision, seals or shields, cage and lubrication; request evidence for the exact offered reference.
Order and acceptance
Quantity per reference, destination, packing, marking and agreed sample or inspection criteria.

The categories describe buyer enquiry scopes, not a verified supplier catalogue or available stock. Exact models, technical evidence, origin, condition, compatibility and commercial terms require item-level confirmation.

CONTROL THE OPEN QUESTIONS

Prepare the brief before asking for a final price

  1. Use one line per product or configuration. Give photographs, drawings and samples matching line IDs and revisions.
  2. Separate agreed requirements from missing information. Ask the supplier to identify substitutions explicitly.
  3. Use the bearings checklist above to define the sample and acceptance scope. Do not supply guessed specifications.
  4. State the destination and named delivery place. Record the proposed trade term, payment terms, quotation validity and lead-time starting condition.
  5. Resolve technical and commercial deviations in writing before approving a sample or purchase order.

Illustrative review — not an actual supplier quotation

Match the complete designation and suffixes, dimensions and configuration before comparing prices. If Offer A matches the brief but Offer B proposes a different configuration, first label the difference. Request a revised or clearly separate alternative offer; neither a cheaper unit price nor a similar image resolves that discrepancy.

RFQ RESOURCES

Keep the enquiry traceable

SAMPLE APPROVAL & SUPPORTING EVIDENCE

Is the bearing number alone enough for a quotation?

Send the full designation including suffixes, dimensions, quantity and application. Clarify clearance, precision, sealing and lubrication where specified. A shared base number alone does not confirm identical configuration or suitability.

What to request from the supplier

Request drawings, dimensional inspection records and traceability information tied to the offered reference and batch. Agree the required inspection scope before approval; do not infer service life or authenticity from a photograph.
