Electronics: quotation checklist

Prepare a complete electronics sourcing brief, identify missing information and download an RFQ template.

SPECIFICATION FIRST

What information is needed for a electronics quotation?

Function and interfaces
Model reference, required functions, connectors, interface version and accessories.
Power and destination
Input voltage, plug type, power source and destination market.
Battery and documentation
Battery reference if applicable, requested reports, labels and transport documentation.
Order and samples
Quantity per configuration, branding, packaging, sample checks and acceptance criteria.

The categories describe buyer enquiry scopes, not a verified supplier catalogue or available stock. Exact models, technical evidence, origin, condition, compatibility and commercial terms require item-level confirmation.

CONTROL THE OPEN QUESTIONS

Prepare the brief before asking for a final price

  1. Use one line per product or configuration. Give photographs, drawings and samples matching line IDs and revisions.
  2. Separate agreed requirements from missing information. Ask the supplier to identify substitutions explicitly.
  3. Use the electronics checklist above to define the sample and acceptance scope. Do not supply guessed specifications.
  4. State the destination and named delivery place. Record the proposed trade term, payment terms, quotation validity and lead-time starting condition.
  5. Resolve technical and commercial deviations in writing before approving a sample or purchase order.

Illustrative review — not an actual supplier quotation

Align model revision, interface, power supply and included accessories. If Offer A matches the brief but Offer B proposes a different configuration, first label the difference. Request a revised or clearly separate alternative offer; neither a cheaper unit price nor a similar image resolves that discrepancy.

RFQ RESOURCES

SAMPLE APPROVAL & SUPPORTING EVIDENCE

How can buyers check whether electronic-product documents match an offer?

Compare the model and revision, functions, interfaces, power supply and included accessories with the document scope. List destination documentation requests separately and clarify any configuration differences before approval.

What to request from the supplier

Ask for documents identifying the proposed model and configuration, and check their issuer and scope. A report for a different model is not evidence for the offered product.
