Hardware tools: quotation checklist

Prepare a complete hardware tools sourcing brief, identify missing information and download an RFQ template.

SPECIFICATION FIRST

What information is needed for a hardware tools quotation?

Task and tool reference
Intended task, product type, drawing or model reference and required dimensions.
Material and power
Material and finish; for powered tools, the power source, voltage, plug and battery configuration.
Included items
Accessories, battery or charger if applicable, set contents and individual packaging.
Acceptance and quantity
Quantity per item, branding, destination and agreed inspection criteria.

The categories describe buyer enquiry scopes, not a verified supplier catalogue or available stock. Exact models, technical evidence, origin, condition, compatibility and commercial terms require item-level confirmation.

CONTROL THE OPEN QUESTIONS

Prepare the brief before asking for a final price

  1. Use one line per product or configuration. Give photographs, drawings and samples matching line IDs and revisions.
  2. Separate agreed requirements from missing information. Ask the supplier to identify substitutions explicitly.
  3. Use the hardware tools checklist above to define the sample and acceptance scope. Do not supply guessed specifications.
  4. State the destination and named delivery place. Record the proposed trade term, payment terms, quotation validity and lead-time starting condition.
  5. Resolve technical and commercial deviations in writing before approving a sample or purchase order.

Illustrative review — not an actual supplier quotation

Match tool size, material, configuration and accessories. If Offer A matches the brief but Offer B proposes a different configuration, first label the difference. Request a revised or clearly separate alternative offer; neither a cheaper unit price nor a similar image resolves that discrepancy.

RFQ RESOURCES

SAMPLE APPROVAL & SUPPORTING EVIDENCE

How should tool samples and sets be compared?

Compare the intended task, sizes, material and finish, then record every included item. For powered tools, distinguish a bare tool from a kit with batteries, chargers and a case.

What to request from the supplier

Request the dimensional or functional checks agreed in the brief and a line-by-line set contents list. Record substituted sizes, accessories and power configurations before approval.
