BUYER ANSWER · MINING PARTS RFQ
Why destination and Incoterm belong in the RFQ
How destination and trade terms affect a mining-parts enquiry.
PRACTICAL CHECKLIST
Why should a buyer provide the destination and preferred Incoterm?
- State the destination country and city or port.
- Name the preferred Incoterm and place.
- Identify any delivery-site restrictions.
- Request estimated packed weight and dimensions when available.
- Confirm whether freight is included or excluded.
- Check import and compliance requirements with qualified local parties.
Important: RootReach can coordinate sourcing and export information, but local import requirements must be checked for the destination and transaction.

A delivery brief that makes freight quotations comparable
A country name alone leaves important delivery details open. State the city, port or exact delivery point, identify what is still undecided, and ask the supplier to separate the product offer from any transport estimate.
Illustrative example only. The entries below are fictional buyer instructions, not a customer case, product specification, quotation or delivery commitment.
Example: delivery location known, shipping terms still open
- Destination
- Country: Chile. City: Antofagasta. Final delivery address or named port: to be confirmed by buyer.
- Requested offer
- Quote the identified parts separately. If transport can be offered, state the proposed Incoterm, version and named place, transport mode, included costs and exclusions. Shipping terms are not yet agreed.
- Information needed before freight confirmation
- Packed dimensions, gross weight and number of packages: supplier to confirm. Site access and unloading arrangements: buyer to confirm. Requested arrival date: enter a target; supplier to advise feasibility.
What if I do not know which Incoterm to request?
Say that shipping terms are open and describe where you want the goods delivered and which arrangements you can handle. Ask for the proposed term and named place in writing, along with a breakdown of costs. Resolve responsibilities with the supplier and freight provider before accepting the offer.
How do I compare two freight-inclusive offers?
Check that both use the same destination, packing basis and transport mode. Ask each supplier to identify included and excluded charges, the validity of the freight estimate and any conditions that could change it. Review arrival targets separately from production and transit estimates.
What changes when parts go to different destinations?
Assign a destination ID to each line or group of lines. Ask the supplier to quote packing and transport for each destination separately. Do not assume one freight estimate covers delivery to multiple sites.
