BUYER ANSWER · MINING PARTS RFQ

How to prepare a consolidated mining-parts list

A practical structure for submitting many mining-equipment parts in one RFQ.

PRACTICAL CHECKLIST

How should a buyer format a multi-item mining-parts enquiry?

  1. Assign a unique line number to every item.
  2. Keep one requested part per row.
  3. Add part number, machine model, serial number and quantity.
  4. Name supporting photos with the same line number.
  5. Mark missing information instead of guessing.
  6. State one destination and preferred trade term for the enquiry.

Important: Duplicate or ambiguous rows should be resolved before supplier confirmation and quotation.

BUYER WORKSHEET · UPDATED 28 SEPTEMBER 2026

A parts list the supplier can check line by line

Keep the item list separate from the delivery brief. Give each line a stable ID and retain that ID in photographs, supplier replies and revised lists. This makes it easier to compare alternatives without mixing up parts.

Illustrative example only. The entries below are fictional buyer instructions, not a customer case, product specification, quotation or delivery commitment.

Example: two items, different levels of information

Line 001 — hydraulic pump
Quantity: 1 assembly. Machine model: copy full nameplate text. Serial number: awaiting site team. Part number: awaiting readable photo. Files: 001-nameplate.jpg and 001-ports.jpg. Status: identification required before quotation.
Line 002 — track roller
Quantity: 4 pieces. Machine model and serial number: enter from machine plate. Part number: enter exactly as marked, including leading zeros. Files: 002-old-part.jpg and 002-dimensions.pdf. Status: supplier to confirm the matched item.

When should two similar items stay on separate lines?

Keep separate lines when machine serial numbers, part references, quantities, condition requirements or destinations differ. If two lines might be duplicates, ask the supplier to flag them; do not merge them until the buyer confirms they describe the same requirement.

What should the supplier return against each line?

Request the proposed item and reference, any deviation from the request, quantity and unit, price and currency, availability status, lead-time basis and outstanding technical questions. Retain an open status for an item that cannot yet be identified.

How should photos and revisions be named?

Use names such as 001-nameplate.jpg, 001-mounting.jpg and 002-dimensions.pdf. Add a revision and date to the list itself. Preserve line numbers between revisions and mark a cancelled line as cancelled instead of reusing its ID.

SAMPLE APPROVAL & SUPPORTING EVIDENCE

What evidence is needed before approving a replacement mining part?

Match the part number to the machine make, model and serial, then compare markings, interfaces and dimensions. Record the requested condition and any proposed alternative. A reference number or photograph alone is not written fitment confirmation.

What to request from the supplier

Request item-specific compatibility confirmation, condition information and the inspection records required for the enquiry. Resolve unclear references before approving a replacement.
