Furniture: compare supplier quotations

Review furniture quotation differences, inclusions, approval conditions and open questions before placing an order.

COMPARE LIKE FOR LIKE

How can I compare furniture offers fairly?

  • Confirm that both offers use the same drawing, material and upholstery reference.
  • Separate sample, tooling, assembly, packaging and transport costs.
  • Check packed dimensions, included hardware and the written acceptance criteria.

The categories describe buyer enquiry scopes, not a verified supplier catalogue or available stock. Exact models, technical evidence, origin, condition, compatibility and commercial terms require item-level confirmation.

CONTROL THE OPEN QUESTIONS

Review a complete offer, not only a unit price

  1. Use one line per product or configuration. Give photographs, drawings and samples matching line IDs and revisions.
  2. Separate agreed requirements from missing information. Ask the supplier to identify substitutions explicitly.
  3. Record currency, pricing unit, quantity basis, sample and customization charges, packing, inspection and freight inclusions.
  4. State the destination and named delivery place. Record the proposed trade term, payment terms, quotation validity and lead-time starting condition.
  5. Resolve technical and commercial deviations in writing before approving a sample or purchase order.

Illustrative review — not an actual supplier quotation

Confirm that both offers use the same drawing, material and upholstery reference. If Offer A matches the brief but Offer B proposes a different configuration, first label the difference. Request a revised or clearly separate alternative offer; neither a cheaper unit price nor a similar image resolves that discrepancy.

SAMPLE APPROVAL & SUPPORTING EVIDENCE

What should a furniture sample approval record include?

Record the drawing revision, dimensions, frame and upholstery references, finish, colour and assembly method. For a project, match each approved item to its room or area schedule and quantity.

What to request from the supplier

Request sample photographs and dimensional checks tied to the exact design. Agree any required testing, packing checks and inspection scope; one approved finish does not approve every construction detail.
